Please read through the following bulletin for upcoming deadlines and important tools to help ensure you have the best experience at Scientific Sessions.

If applicable, please also be sure to forward to your Exhibitor Appointed Contractor to ensure they are aware of these important notices.

Upcoming Deadlines:

TARGET MOVE-IN

The AHA has made every effort to control exhibitor costs during move-in by allowing an additional day per the Target Plan.  Those wishing to request an off-target move-in may do so by submitting a request to julie.welsh@heart.com.

ISLAND BOOTH STRUCTURE & SCHEMATICS

Exhibitors with island booths of 400 square feet or more, structures exceeding 10 feet in height and/or two-story booths must submit booth schematics to the AHA Exhibits Department for review and approval.

BEWARE OF UNAUTHORIZED HOUSING VENDORS

Please be aware of unofficial contractors attempting to sell to AHA exhibitors!

We have already heard reports of aggressive callers from various unaffiliated groups that send out email solicitations or call you with reduced room rates. Please be advised that the only company authorized to arrange hotel reservations is OnPeak, via AHA’s Annual Meeting website. These companies often represent themselves as sanctioned by AHA, but they are not.

We strongly discourage any exhibitor conducting business with either company, as there have been numerous fraudulent reports.
